  1. Performance of a Contract: We need your financial and personal data to prepare and submit your tax returns and provide advisory services.
  2. Legal Obligation: We are legally required to verify your identity under the UK Money Laundering Regulations (AML) and to maintain proper records for HMRC purposes.

4. How We Store and Protect Your Data

We operate a 100% digital, paperless practice.

  • Your data is stored securely in encrypted cloud storage services using multi-factor authentication (MFA).
  • Your data is processed on secure devices protected by full-disk encryption and anti-malware software.
  • We do not retain original physical documents. Any physical paperwork provided will be scanned and immediately returned or securely destroyed.

5. How Long We Keep Your Data (Data Retention)

We only keep your personal data for as long as necessary to fulfil our legal duties and protect our business in the event of a dispute. Our retention periods are:

  • Anti-Money Laundering (ID checks): 5 years after our business relationship ends.
  • Tax and Accounting Records: 5 to 6 years from the relevant tax year submission deadline, in line with HMRC guidelines.
  • Correspondence and Advice: 6 years from the end of the tax year to protect against historical professional liability claims.

Once these periods expire, your digital files are permanently and securely deleted from our systems.

6. Who We Share Your Data With

We do not sell or rent your data to third parties. We only share your data with:

  • HMRC: To submit your authorized tax returns.
  • Cloud & Software Providers: Secure UK/EEA-compliant digital platforms used exclusively to run our practice (e.g., secure email, cloud storage, and tax software).
  • Law Enforcement: Only if required by law (e.g., under AML reporting duties).

7. Your Rights

Under UK data protection law, you have rights including:

  • Access: The right to ask us for copies of your personal data.
  • Rectification: The right to ask us to correct inaccurate information.
  • Erasure: The right to ask us to erase your personal data (subject to HMRC record-keeping requirements).
